POSITION DETAILS

Addictions Recovery Center, Inc (ARC) in Medford, Oregon is a behavioral health agency providing a trauma-informed, comprehensive continuum of substance use and co-occurring mental health disorder treatment services in Southern Oregon. We are seeking a full-time Executive Administrative Assistant to be a key point of contact for the President & Chief Executive Officer (CEO) and Board of Directors.

ARC’s Executive Administrative Assistant provides administrative and clerical support to the President & CEO, the Board of Directors, and various Board committees. They support the efficient and effective operations of agency executive functions, provide excellent customer service, and are well-organized, computer proficient, and detail oriented. In addition, the Executive Administrative Assistant models a professional, responsive, and helpful work ethic while maintaining open, ongoing lines of communication and collaboration with agency leadership and external community partners.

Duties will include but are not limited to:

  • Handling sensitive and confidential information with the utmost discretion and professionalism
  • Providing administrative and clerical support to the Board of Directors and Board committees under the oversight of the CEO
  • Maintaining and managing the Board of Directors and CEOs calendars
  • Preparing meeting schedules, invitations, and materials
  • Assisting with presentations and taking meeting minutes
  • Maintaining Board of Directors and CEO records and filing
  • Preparing and editing documents or reports for accuracy, spelling, and grammar
  • Conducting research and gathering information as requested by the CEO
  • Scheduling meetings with internal and external attendees
  • Conducting tours with visitors as needed

EDUCATION, CREDENTIALS & SKILLS

  • Education, Credentials and Skills should include:
  • Bachelor’s degree
  • Minimum of 5 years executive-level administrative support experience
  • Prior healthcare administrative experience in an executive setting preferred
  • Previous experience supporting a nonprofit Board of Directors preferred
  • Ability to type 60 words per minute or more
  • High proficiency in utilizing Microsoft Office products
  • Highest level of accuracy and attention to details
  • Excellent organizational and time-management skills
  • Excellent written and verbal communication skills, including grammar and spelling
  • Spanish bilingual preferred

COMPENSATION & BENEFITS

Compensation and benefits include:

  • Most ARC employees are scheduled four-days a week to support their ability to maintain a healthy work and life balance; medical and sobering positions are scheduled to work three days a week
  • Starting salary ranging from $47,840.00 to $55,016.00, depending on credentials, skills and experience
  • Three (3) to six (6) weeks of Vacation accrued per year, based upon years of service
  • Sick time is accrued for all employees based on regularly scheduled hours
  • Ten (10) Paid Holidays each year: New Year’s, MLK Day, President’s Day, Memorial Day, Juneteenth, Independence Day, Labor Day, Veterans Day, Thanksgiving Day, Christmas Day
