POSITION DETAILS

Addictions Recovery Center, Inc (ARC) in Medford, Oregon is a behavioral health agency providing a trauma-informed, comprehensive continuum of substance use and co-occurring mental health disorder treatment services in Southern Oregon. We are currently seeking a full-time Medical Records Specialist to ensure that the documentation of client records is accurate, complete, and maintained according to state and federal guidelines.

ARC’s Medical Records Specialist plays a crucial role in maintaining the integrity of client information and ensuring that all records are organized and accessible for the multidisciplinary team. This position requires a strong understanding of compliance regulations and exceptional attention to detail. The ideal candidate is well-organized, proficient in data management systems, and has a commitment to confidentiality and client service.

Duties will include but not be limited to:

  • Managing and maintaining client medical records to ensure completeness and compliance with HIPAA and 42 CFR PART II
  • Accurately entering and updating data in the electronic health record (EHR) system
  • Ensuring accurate and timely handling of records requests, and that all legal requirements are met
  • Responding to record requests and ensuring the appropriate release of information
  • Collaborating with treatment teams to ensure records reflect accurate clinical documentation
  • Auditing files and records to identify missing documentation and discrepancies
  • Supporting the agency in preparing for audits and reviews related to client records
  • Providing coverage for the agency’s reception desk as assigned, ensuring professional and efficient handling of inquiries and client interactions

This position is generally scheduled Monday through Thursday, 8:00 am to 5:00 pm.

EDUCATION, CREDENTIALS & SKILLS

Education, Credentials and Skills should include:

  • High school Diploma or equivalent
  • Prior experience in medical records management or a similar role in a healthcare or human services setting preferred
  • High proficiency in computer systems and electronic health records (EHR) systems
  • Advanced communication skills, with the ability to listen for clarity and understanding and respond accordingly
  • Understanding of and compliance with HIPAA and 42 CFR PART II
  • Excellent organizational skills and the ability to manage and prioritize multiple tasks

COMPENSATION & BENEFITS

Compensation and benefits include:

  • Most ARC employees are scheduled four-days a week to support their ability to maintain a healthy work and life balance; medical and sobering positions are scheduled to work three days a week
  • Starting wage for a Receptionist ranging from $23.50 – $27.03 hourly, depending on credentials, skills, and experience
  • Three (3) to six (6) weeks of Vacation accrued per year, based upon years of service
  • Sick time is accrued for all employees based on regularly scheduled hours
  • Ten (10) Paid Holidays each year: New Year’s, MLK Day, President’s Day, Memorial Day, Juneteenth, Independence Day, Labor Day, Veterans Day, Thanksgiving Day, Christmas Day
